Packing slip vs invoice for Shopify: warehouse vs shopper docs

Shopify merchants often use “invoice” and “packing slip” interchangeably in Slack. Warehouses and shoppers do not. Mixing them up creates wrong-price prints on the dock, missing tax lines in email, and support tickets that start with “the PDF doesn’t match my order.”

Invoice: the shopper-facing commercial document

An invoice records what was sold, for how much, to whom, under which invoice number. Shoppers use it for records, tax, reimbursements, and “proof I paid.” It typically includes line prices, discounts, tax, shipping charges, and totals.

When the shipping address changes before fulfillment, the commercial story (what was bought and for how much) usually stays the same — but the ship-to block must update. Packing slip: the warehouse-facing fulfillment document

A packing slip tells pickers and packers what to put in the box and where it goes. Prices are a distraction on the packing bench and a privacy leak if a gift recipient sees them. BeforeShip packing slips hide prices by default.

When each document should regenerate

Regenerate the invoice when ship-to details change (or when your commercial fields change). Shoppers who download the PDF after an edit should not still see the old address.

Regenerate the packing slip any time the warehouse-facing truth changes — especially shipping address and phone — and always after a self-serve edit inside the BeforeShip window. Train teams to print from the latest slip, not from a PDF attached to an old email.

Common mistakes merchants make with these PDFs

Printing yesterday’s packing slip from a downloads folder after the shopper fixed the address. Emailing a packing slip (no prices) when the shopper asked for an invoice (with prices). Creating a new invoice number every time you regenerate a PDF, which breaks customer and accountant references. Letting gift orders go out with price-visible documents when a slip would have been enough on the dock.

A simple rule helps: invoices answer “what did I buy and for how much?” Packing slips answer “what goes in this box and where does it ship?” After any pre-fulfillment address or phone edit, assume both need a fresh PDF before anyone packs or replies to the shopper.
